Booking terms and conditions
Here we set out the terms and conditions that apply when you book a Responsible Photography Holiday. We also explain our obligation to you, and your obligation to us. These conditions form your holiday contract with 'Responsible Photography Holidays' and all holiday bookings are taken subject to acceptance of these terms and conditions.
All Responsible Photography Holidays are governed by English Law and will be dealt with by the English Courts. A contract will exist as soon as a signed holiday booking form and deposit is received and Responsible Photography Holidays issue a confirmation letter and invoice.
Deposit
A deposit of £200 per person named on the booking form is payable when booking. If the booking is made within 15 weeks of holiday start date, full payment is required. The balance of the holiday is due 15 weeks before the holiday start date. Payment is only accepted by cheque or bank transfer. Payment cannot be made by credit card. unless through Paypal. We cannot cover the cost of receiving payments through paypal. Responsible Photography Holidays require a minimum of people to operate, and if we do not have the minimum number needed to run a tour then we will advise you as soon as possible. If a holiday is cancelled due to insufficient numbers then your deposit will be refunded in full. No refunds can be made if a holiday is cancelled due to Force majeure, i.e. unexpected or unusual circumstances which could not have been avoided, this includes war, natural disasters, nuclear disasters, riots, threat of war or riots, terrorist activity, industrial disputes, civil strife, fire, transport disputes or strikes or any technical problem associated with transport such as airport closures, congested airports, airport personnel strikes;adverse weather conditions including hurricanes. Please check your travel insurance policy in respect of Force majeure.
Local Payment
There is a local payment on all holidays which will be collected on the first evening of your holiday. This is payable in local currency.
If you cancel your holiday, cancellations must be made in writing by the lead person who made the booking and cancellation charges will be due from the date the cancellation is received by Responsible Photography Holidays. As we incur costs in making holiday arrangements, applicable cancellation charges are payable by you in addition to your holiday deposit. As we are a very small company organising holidays for very small groups of people, should the cancellation occur 15 weeks or less before your holiday start date then we are unable to make any refund and the full cost of the holiday will be forfeited. For holidays cancelled more than 15 weeks before the holiday start date, then the cancellation charge will be loss of deposit + the additional payment, as detailed in the chart below. The reason for your cancellation may be covered under the terms of your travel insurance policy. If the booking is transferred to another person, then a charge will be made to cover communication and admin costs (approx £50). Please note that we would do our best to resell a cancelled holiday in which case marketing, administration and communication costs will be charged and deducted before any refund is made.

We accept responsibility for ensuring that the holiday arrangements you book with us are supplied as described but sometimes the itinerary or accommodation may change due to the nature of the holidays that we operate. We will keep you informed of any changes as even with careful planning and organisation - local events may require us to make changes. Please consider the fact that the local partners and people we work with are mostly new to tourism, and are keen to develop and learn. There are also certain events we have no control over - such as the weather!! Fortunately, most weather conditions provide great photographic opportunities and challenges. We accept your booking on the understanding that you realise the potential hazards that are involved in this kind of holiday, including injury, disease, loss/damage to personal property, inconvenience and discomfort. Standards of, for example, quality, transport, hygiene and safety vary in the different places we visit and are not comparable to those in the UK, but will comply with local regulations. The decision to partake in a Responsible Photography Holiday is entirely at your own discretion and risk.
Care and Security
Responsible Photography Holidays and our partners take your care and security seriously however do appreciate and understand that there are risks associated with adventure travel holiday styles. We will cancel or re-route part or all of you holiday if we are informed that there is the need. Most crime is opportunistic so we suggest you wear the minimum of jewellery and keep your camera gear in plain back packs that don't attract attention. A money belt or pouch is a good idea. Once a contract exists between you and Responsible Photography Holidays this means you agree to accept the authority and decisions of our employees, local partners, suppliers and guides while travelling with us. If, in the opinion of any of these, your conduct or health seems likely to endanger the tour you could be excluded from the whole or part of the holiday. With ill health we may make any arrangements we think are necessary and recover any costs thereof from you. If you commit an illegal act or offence we shall cease to have any responsibility to or for you. We shall have no liability for your holiday or death or personal injury you may suffer on our part or that of our servants, agents or suppliers thus travel and health insurance is mandatory.
Force Majeure
Unexpected or unusual circumstances which could not have been avoided, or are out of Responsible Photography Holidays, partners and suppliers control. This includes war, natural disasters, nuclear disasters, riots, threat of war or riots, terrorist activity, industrial disputes, civil strife, fire, transport disputes or strikes or any technical problem associated with transport such as airport closures, congested airports, airport personnel strikes;adverse weather conditions including hurricanes. Neither Responsible Photography Holidays, our partners, suppliers or other associated partners are liable, or able to pay compensation should our contractual obligations be prevented, or you suffer any damage or injury or loss as a result of Force majeure.
Travelers are asked to declare that they are fit to travel and do not suffer from any pre-exisiting medical conditions that could impact on their, or the enjoyment of fellow travellers. Any medical conditions must be disclosed, in confidence, so that Responsible Photography Holidays are aware of any conditions that may, in an emergency, need medical services so that a check can be made to ensure the medical services required are, in fact available. This is an important consideration due to the nature of the places we travel to.
Disabled Travellers
Please discuss in confidence so that appropriate information to help you decide whether our holidays are suitable, depending on your individual circumstances. We will do our best to assist, but due to the nature of most of our holidays, if you have limited mobility, or are a wheelchair user, then it is likely that some of our holidays will not be able to provide adequately for your special needs. The reason for this is that we are supporting local people rather than larger organisations with the means to facilitate the necessary services. Most of our accommodations are therefore very small, do not have lifts and are reached via steps or along unmade paths. Rooms can be compact and some do not have electricity and facilities are shared. However, please talk to us and we will do our very best for you.
Insurance - Travel, Supplier and Flight Failure, Camera
It is a condition of booking that all travellers with Responsible Photography Holidays obtain comprehensive travel insurance that covers 'adventure travel' and is valid for travel to your choice of holiday destination, from the date your holiday booking is made. Please note that travel insurance provided with, for example, a credit card, may not provide adequate cover. Also note that although Morocco is in the European Economic Area, an EHIC is not widely recognised for reduced cost local medical care; Medical and Travel insurance is necessary for Morocco and a condition of booking. Travel insurance is mandatory and you are responsible for ensuring adequate protection in respect of cancellation and curtailment, injury, death, repatriation, medical expenses, baggage and money loss, transport cancellation and delays, and liability cover. Please double check any exclusion clauses to ensure that you are fully covered for this type of holiday and there are no exemption clauses. A copy of your travel insurance and emergency contact details is required by Responsible Photography Holidays prior to departure. We recommend that for a small sum you purchase Supplier and Flight Failure insurance so that all elements of your holiday are insured.
Camera insurance is the travellers responsibility.
Passport, Visa and Flights
The traveller is responsible for being in possession of a current passport, any necessary visa, and flight/transport organisation to/from the holiday start location. Responsible Photography Holidays will accept no responsibility for your passport or visa, or for booking flights. The traveller is responsible for all airport costs including departure taxes and excess baggage.
Jabs and Health
The traveller is responsible for ensuring that all required vaccinations and other medical/health requirements are up to date before joining a Responsible Photography Holiday. Please allow time for the necessary jabs. We suggest a visit to the nurse at your local health centre.
Data Protection Act
We need to use the information you provide such as name, and any special needs or dietary requirements to make your holiday arrangements, but we take care to ensure that this information is treated confidentially and securely. Controls on data protection in the countries we operate to are not necessarily as strong as the legal requirements in this country. However, we only pass on information to our partners that is necessary in processing your booking and organising your travel arrangements. In accepting your booking, you consent to your data being used to process your travel arrangements.
2010 Itineraries and prices
Please read this information. It is hoped that prices will not increase greatly, but this depends on costs and exchange rate fluctuations and we reserve the right to pass on increased holiday costs if the need arises. Holidays booked with deposits paid before February 28th 2010 will remain as quoted and will not incur surcharges unless currency rates or fuel costs applied to the particular holiday increase above 2% of total holiday cost. We are a very small Company working with local partners and will only increase our prices quoted should exchange rate fluctuations or local implications significantly impact on the provision of our holiday itineraries and the services of our suppliers. Any increases we are forced to make will be advised not less than 30 days before departure. We reserve the right to increase the cost of any unsold holidays due to such increased costs if we have to. We hope that this will not happen and the reasons for any increases will be fully explained.
